These Terms and Conditions set out the basis on which Heritage Golf Travel Ltd arranges bespoke golf travel experiences on your behalf. They cover the booking process, pricing, cancellation, our responsibilities, and your responsibilities as a client. Please read them carefully before confirming your booking.
1. Introduction
These Terms and Conditions (“Terms”) govern the relationship between Heritage Golf Travel Ltd (“we”, “us”, “our”, “Heritage Golf Travel”) and you, the client (“you”, “your”), in respect of all golf travel services, itineraries, bookings, and related arrangements made through us.
We are registered in England and Wales under Company No. 16456639, with our registered address at 167 Leziate Drove, Ashwicken, Norfolk, England, PE32 1LU.

These Terms are governed by the laws of England and Wales. Any dispute arising from or in connection with these Terms shall be subject to the exclusive jurisdiction of the courts of England and Wales.
2. Definitions
In these Terms, the following definitions apply:
- “Booking” means a confirmed reservation of travel services made by you through Heritage Golf Travel.
- “Booking Confirmation” means the written confirmation issued by us once a deposit has been received and the booking is confirmed.
- “Client” means the lead person named on the booking, who accepts these Terms on behalf of all members of the travelling party.
- “Deposit” means the non-refundable initial payment required to confirm a booking.
- “Final Balance” means the remaining sum due after the deposit, payable by the date specified in the Booking Confirmation.
- “Itinerary” means the detailed travel plan, including golf tee times, accommodation, transport, and any additional services, as agreed between you and Heritage Golf Travel.
- “Supplier” means any third-party provider of services included in your Itinerary, including golf courses, hotels, transport operators, and other service providers.
- “Travel Services” means all golf travel arrangements, accommodation, tee time reservations, transport, and ancillary services arranged by Heritage Golf Travel on your behalf.
3. The Booking Process
All bookings are subject to availability and are not confirmed until we have issued a Booking Confirmation and received your deposit.
- Enquiry: You submit an enquiry via our website, telephone, or email. We will respond with a tailored quotation based on your requirements.
- Quotation: Our quotation is valid for the period stated therein. Prices are subject to change until a deposit is received and a Booking Confirmation is issued.
- Deposit: To confirm your booking, a deposit (as specified in your quotation) is required. The deposit amount varies depending on the nature and value of the booking.
- Booking Confirmation: Once your deposit is received and all Supplier availability is confirmed, we will issue a Booking Confirmation detailing your Itinerary, total cost, and the date by which the Final Balance is due.
- Final Balance: The Final Balance is due no later than 10 weeks (70 days) prior to your departure date, unless otherwise stated in your Booking Confirmation. Failure to pay the Final Balance by the due date may result in cancellation of your booking and forfeiture of your deposit.
- Late Bookings: For bookings made within 10 weeks of the departure date, the full amount is payable at the time of booking.
The lead client named on the booking is responsible for ensuring that all members of the travelling party are aware of and agree to these Terms.
4. Pricing & Payment
All prices quoted are in pounds sterling (GBP) unless otherwise stated. Prices are based on the costs, exchange rates, and Supplier tariffs applicable at the time of quotation.
- Price changes before booking confirmation: We reserve the right to amend quoted prices at any time before a Booking Confirmation is issued. Once a Booking Confirmation has been issued and the deposit received, the price of your booking is fixed, subject to the exceptions below.
- Surcharges after confirmation: In exceptional circumstances, we reserve the right to pass on increases in costs arising from changes in transportation costs (including fuel), taxes or fees chargeable for services (including landing taxes and embarkation or disembarkation fees at ports and airports), or exchange rates. We will absorb cost increases up to 2% of the total booking value. If the increase exceeds 8% of the total booking value, you will have the right to cancel and receive a full refund of all monies paid.
- Payment methods: We accept payment by bank transfer (BACS/CHAPS) and major credit and debit cards. Card payments may be subject to a processing fee, which will be disclosed at the time of payment.
- Currency: Where services are priced in a foreign currency, the GBP equivalent will be calculated at the exchange rate applicable at the time of payment.
All prices include VAT where applicable. Our quotations will clearly state whether VAT is included.
5. Cancellation by You
If you wish to cancel your booking, the lead client must notify us in writing (by email to info@heritagegolftravel.com). Cancellation takes effect from the date we receive written notification.
The following cancellation charges apply, calculated as a percentage of the total booking value:

These charges reflect the costs we incur with Suppliers upon cancellation. We strongly recommend that you take out comprehensive travel insurance that includes cancellation cover at the time of booking.
Where a booking includes non-refundable elements (such as certain tee times, hotel deposits, or event tickets), those costs will be charged in full regardless of the notice period given.
6. Cancellation or Alteration by Us
We reserve the right to cancel or alter your booking in the following circumstances:
- Cancellation by us: In the unlikely event that we are required to cancel your booking (other than due to your failure to pay), we will offer you the choice of: (a) an alternative booking of comparable or superior quality; (b) an alternative booking of lower quality with a refund of the price difference; or (c) a full refund of all monies paid to us.
- Significant alterations: If we are required to make a significant change to your Itinerary (such as a change of hotel to one of materially lower standard, or cancellation of a key golf course), we will notify you as soon as possible and offer the same options as above.
- Force majeure: We will not be liable for cancellation or alteration caused by events beyond our reasonable control, including but not limited to acts of God, war, civil unrest, terrorism, natural disasters, pandemics, government restrictions, or industrial action. In such circumstances, we will endeavour to offer alternative arrangements or, where possible, a credit for future travel.
- Minimum numbers: Some group itineraries are subject to minimum participant numbers. If minimum numbers are not reached, we reserve the right to cancel the booking with full refund of all monies paid.
We will not be responsible for any costs you incur as a result of cancellation or alteration, including flights, visas, or other independently arranged travel. We strongly recommend that all travel arrangements are made with appropriate flexibility and that comprehensive travel insurance is in place.
7. Amendments to Your Booking
If you wish to amend your booking after a Booking Confirmation has been issued, please contact us as soon as possible. We will endeavour to accommodate your request, subject to availability and Supplier terms.
- An administration fee of £50 per amendment may be charged for changes made after the Booking Confirmation is issued.
- Amendments that result in a reduction in the number of participants or the scope of services may be treated as a partial cancellation and subject to the cancellation charges set out in Section 5.
- Amendments requested within 10 weeks of departure may not be possible and, where they are, may incur additional charges from Suppliers.
- Name changes on bookings are subject to Supplier approval and may incur additional fees.
All amendment requests must be made in writing by the lead client.
8. Travel Insurance
We strongly recommend that all clients and members of their travelling party take out comprehensive travel insurance at the time of booking. Your insurance should cover, as a minimum:
- Cancellation and curtailment
- Medical expenses and emergency repatriation
- Personal liability
- Loss or damage to personal belongings, including golf equipment
- Travel delays and missed departures
Heritage Golf Travel does not provide travel insurance and accepts no liability for losses that would have been covered by adequate travel insurance. It is your responsibility to ensure that your insurance policy is appropriate for your trip and covers all activities you intend to undertake.
Please ensure you read your insurance policy carefully and carry your policy details with you during travel.
9. Our Responsibilities
Heritage Golf Travel acts as an agent in arranging Travel Services on your behalf with Suppliers. Our responsibilities are as follows:
- We will use reasonable skill and care in selecting reputable Suppliers and arranging your Itinerary.
- We will communicate your requirements to Suppliers and confirm arrangements on your behalf.
- We will provide you with accurate information about your booking to the best of our knowledge at the time of booking.
- We will endeavour to resolve any issues that arise during your trip, acting as your advocate with Suppliers where appropriate.
We are not liable for the acts or omissions of Suppliers, or for any failure of services provided directly by Suppliers. Our liability to you is limited to the amount paid to us for the Travel Services in question, except in cases of death, personal injury, or fraud caused by our negligence.
We are not responsible for any loss, damage, or additional costs arising from events beyond our reasonable control, including force majeure events as described in Section 6.
10. Your Responsibilities
As a client of Heritage Golf Travel, you are responsible for the following:
- Accurate information: Providing accurate and complete information about all members of your travelling party, including names as they appear on passports, dietary requirements, accessibility needs, and any other relevant details.
- Travel documents: Ensuring that all members of your party hold valid passports, visas, and any other travel documents required for your destination. We are not responsible for any costs arising from failure to hold the correct documentation.
- Health and fitness: Ensuring that all members of your party are in good health and physically capable of participating in the activities included in your Itinerary. Golf courses may have their own requirements regarding handicap certificates or playing ability.
- Conduct: Ensuring that all members of your party behave in a manner that is respectful of Suppliers, their staff, other guests, and local customs. We reserve the right to terminate a booking without refund if the behaviour of any member of your party is deemed unacceptable by a Supplier.
- Timekeeping: Arriving at tee times, hotel check-ins, and other scheduled activities punctually. We are not responsible for costs arising from missed tee times or other appointments due to late arrival.
- Insurance: Arranging appropriate travel insurance as described in Section 8.
11. Complaints & Disputes
If you experience any problem during your trip, please raise it with the relevant Supplier in the first instance. If the matter is not resolved to your satisfaction, please contact us immediately so that we can assist.
Any complaint that cannot be resolved during your trip must be submitted to us in writing within 28 days of your return, addressed to info@heritagegolftravel.com. We will acknowledge your complaint within 5 working days and aim to provide a full response within 28 days.
We are committed to resolving complaints fairly and promptly. If you remain dissatisfied after our response, you may refer the matter to an independent dispute resolution service. As a member of IAGTO (International Association of Golf Tour Operators), we adhere to their code of conduct and standards.
Failure to raise a complaint during your trip, or within the 28-day period following your return, may affect our ability to investigate and resolve the matter.
12. Data Protection
Heritage Golf Travel is committed to protecting your personal data. We collect and process personal data in accordance with our Privacy Policy, which is available at heritagegolftravel.com/privacy-policy.
By making a booking, you consent to us sharing relevant personal data with Suppliers (such as golf courses, hotels, and transport providers) as necessary to fulfil your Itinerary. We will only share the minimum data required for this purpose.
We process personal data in accordance with the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018. For any data protection queries, please contact us at privacy@heritagegolftravel.com.
13. Intellectual Property
All content on the Heritage Golf Travel website, including text, images, itineraries, course descriptions, and editorial copy, is the intellectual property of Heritage Golf Travel Ltd or is used with the permission of the relevant rights holder.
You may not reproduce, distribute, or use any content from our website for commercial purposes without our prior written consent. Personal, non-commercial use is permitted provided that our copyright notice is retained.
Itineraries and quotations prepared by Heritage Golf Travel are provided for your personal use only and may not be shared with or used by third parties, including competing travel operators.
14. Website Use
Our website is provided for information and enquiry purposes. While we take care to ensure that the information on our website is accurate and up to date, we cannot guarantee that it is free from errors or omissions. Course details, hotel information, and pricing are subject to change.
- We are not responsible for the content of any third-party websites linked from our website.
- We reserve the right to modify, suspend, or discontinue any part of our website at any time without notice.
- You must not use our website in any way that is unlawful, harmful, or that infringes the rights of others.
15. General
- Entire agreement: These Terms, together with your Booking Confirmation and any other documents expressly incorporated by reference, constitute the entire agreement between you and Heritage Golf Travel in respect of your booking.
- Severability: If any provision of these Terms is found to be invalid or unenforceable, the remaining provisions shall continue in full force and effect.
- Waiver: Our failure to enforce any provision of these Terms shall not constitute a waiver of our right to enforce that provision in the future.
- Assignment: You may not transfer or assign your booking or any rights under these Terms to any other person without our prior written consent.
- Governing law: These Terms are governed by the laws of England and Wales. Any dispute shall be subject to the exclusive jurisdiction of the courts of England and Wales.
- Updates: We reserve the right to update these Terms at any time. The version in force at the time of your Booking Confirmation will apply to your booking.
